If you have ever searched "how much does a bookkeeper cost" and come away more confused than when you started, you are not alone. Most answers give you a range so wide it tells you nothing. "Anywhere from $200 to $2,000 a month," With no explanation of what actually drives that difference.

Here is a straight answer.

What actually affects the cost

The price of bookkeeping services comes down to three things: the size of your business, the volume of transactions you have each month, and the complexity of your financial processes.

A solopreneur with 50 transactions a month and one bank account has different bookkeeping needs than a small business with employees, multiple revenue streams, and accounts payable to manage. The more complex the financials, the more time it takes to maintain them accurately, and that is reflected in the cost.

Services also vary. Basic bookkeeping, recording transactions and reconciling accounts, is one price point. Add payroll processing and advisory services, and the scope expands accordingly. Some bookkeepers charge hourly. Others, including KW Bookkeeping, charge a flat monthly fee based on the scope of work. A flat fee is generally better for small business owners because it makes your costs predictable.

What you are actually getting for the money

A good bookkeeper does more than record what happened. They make sure your books are accurate and current every month so you can actually make decisions based on real numbers,  not a guess.

That means knowing which products or services are profitable. Knowing whether you can afford to hire someone or expand. Knowing what your cash flow looks like three months from now, not just what your bank balance says today.

When a client comes to me several months behind on their books, the first thing we do is get caught up. Once we do, they can finally see exactly where their business stands, which services are pulling their weight, where money is going, and what needs to change. That clarity is what you are paying for. If you want to understand the specific mistakes that lead to disorganized books in the first place, I cover the most common ones here: 3 bookkeeping mistakes small business owners make.

The real cost of not having a bookkeeper

Most small business owners underestimate this. If you are paying a CPA to file your taxes based on a year of disorganized records, your CPA has to clean up those records before they can do anything else. That cleanup is billed at CPA rates, which are usually higher than bookkeeping rates. You also spent twelve months making business decisions based on incomplete financials, which also has its own cost that usually shows up in missed opportunities or poor financial decisions. Not sure if any of this applies to your situation? I put together a straightforward list of the clearest signs you need to hire a bookkeeper and what it is actually costing you not to have one.

The cheapest bookkeeper you find may actually be the most expensive option in the long run. Inaccurate books lead to bad decisions. Bad decisions cost real money.
